This policy explains how GDW Trailer Rentals, LLC ("we," "us") handles your personal information when you use our rental website and reserve equipment with us.

Information we collect

• Your name and contact details (email, phone) and your reservation details.
• If we require it for a rental: a photo of your driver's license / ID and insurance, and your e-signature on the rental agreement.
• Your payment information, handled by our payment processor (we don't store full card numbers).
• A delivery address if you choose delivery.

How we use it

To provide and manage your rental, process reservations and payments, verify eligibility to rent, communicate with you about your booking, and meet legal and safety obligations.

We do not sell or share your information

We do not sell, rent, redistribute, or share your personal information. We share it only with the service providers we use to operate our website and fulfill your rental (below), and where required by law.

Service providers we use

We run our website and reservations on the FlintSpan rental platform, which processes your information on our behalf as our service provider. To provide the service we (or FlintSpan on our behalf) also use trusted third parties — for example for payments, text messaging, address/map lookup, smart-lock access codes, and document verification. These are independent companies with their own privacy policies; we don't control how they handle data, so please review their policies.

Document verification

If we ask you to upload an ID or insurance document, it may be checked by an automated verification service to confirm details (such as name, expiration, and license class). Only the extracted details and the result are kept; a check we can't read automatically is simply reviewed by our staff.

Text messages

If you give us your mobile number, we send transactional texts about your reservation only, and you can reply STOP at any time. See our text message policy.

Security & retention

Your information is protected with encryption and access controls through our platform, and sensitive documents are encrypted. We keep your information for as long as needed for your rentals and to meet legal requirements, then delete or de-identify it.

Your choices

You may ask us to access, correct, or delete your personal information. Contact us and we'll help. Depending on where you live, you may have additional rights (for example under the California Consumer Privacy Act).
